How to use the scanner at the General Reference (gRef) desk

 


 

Basic scanning instructions

 

The scanner has a touch screen - use it to enter all the following commands...

 

1. First place the document:

 

  • (single page) lift the lid, place on the glass - face down like a copier, line up in upper right
  • (multiple pages) place face up in the tray feeder on top

 

2. Touch the Email button

3. You must fill out the From and To addresses.

 

  • Push each letter on the touch screen
  • After touching OK, a message will pop up: 'Add to "Local" address book?' - - Touch Yes ONLY if you want this address saved and potentially available to other users

 

  • Other fields (CC, Subject, BCC) are optional

 

  • (See below if you'd like to change sending options)

 

4. When ready, press Start at the bottom of the screen

 

  • You will hear the scanner working and the top of the screen will list actions as they are taken.

 

5. After scanning and sending is complete, a message will pop up: 'Do you wish to keep the current settings?' - - Touch Yes if you'd like to scan another document to the same address. Will automatically erase settings if neither Yes nor No are selected after ~60 seconds.

 

 

 

To change sending options (eg - send as different file format)

 

Follow previous instructions...

 

3a. Touch Email Settings.

On the next screen, touch Email Settings again.

 

Options (default in bold):

  • File Type (PDF, JPEG, TIFF, MTIFF)
  • Color (Color, Black & White)
  • Resolution (75, 150, 200, 300 DPI)
  • File Size (Small, Standard, Large)

 

Press OK.

 

 

Additional notes

 

  • Maximum size is 9" x 12".
  • Hotmail addresses seem to have problems receiving the emails. Yahoo addresses do not have the same problems.
